Almost every difficult conversation we have at reception about safaris comes down to a permit problem, and almost all of them were avoidable weeks earlier.
Who issues permits
The Uttarakhand forest department, through an online portal. Not resorts, not hotels, not agents. Anyone who sells you a permit is booking through the same system, and the fees are fixed. A permit is tied to four things: a zone, a date, a slot and specific named people. None of them can be changed afterwards.
What they need
For every guest, including children: full name exactly as printed on the ID, age, ID type (usually Aadhaar, passport or voter ID) and the ID number. Foreign nationals must use passport details, and foreign national fees differ — if your group mixes both, say so at the outset.
When to send it
In peak season, roughly March to mid-June and the November to February weekends, we ask for details 30 to 45 days ahead. Bijrani and Dhikala go fastest. Off-season, two weeks is usually comfortable. Guests who send details a week before arrival in May are usually disappointed.
The mistakes that actually happen
The name does not match the ID
The most common and the most painful. A permit issued to "Raj Kumar Sharma" when the Aadhaar says "Rajkumar Sharma" can be refused at the gate. Send the name exactly as printed, including spelling that looks wrong to you.
Bringing a different ID
If you booked on Aadhaar, carry that Aadhaar. A driving licence will not substitute.
Assuming a permit transfers
It does not. If someone drops out and a friend takes their place, the permit does not move with the seat.
Booking an afternoon slot in May
Legal, available, and a mistake. By May the afternoon is punishing and animal movement is minimal.

Book the permit, arrange the jeep and naturalist, confirm the pickup time the evening before, and have a breakfast box and flask ready at reception. When you come back, the kitchen stays open for a proper late breakfast. We book at cost — the department sets the fee and we do not mark it up, which is worth knowing when you compare quotes.
